Privacy policy

Last updated: 8 September 2026

We only collect the information needed to check and submit your replacement V5C application, take payment, and support you afterwards. We never sell your data.

1. Who we are

Log Books is an independent replacement V5C log book checking and submission service operating in the UK. We are the data controller for the personal information described in this policy. You can contact us at support@log-books.org.uk.

2. Information we collect

  • Your name, email address and phone number.
  • Vehicle details: registration number, VIN or chassis number, and make and model.
  • The registered keeper's name and address, and the reason you need a replacement.
  • Any options you select, such as fast track processing.
  • Payment confirmation details from our payment provider. We never receive or store your full card number.
  • Basic technical information such as your IP address and browser type, used for security and to keep the service working.

3. Why we use it and our lawful basis

  • To perform our contract with you — checking your application, submitting it to the DVLA, taking payment and sending your confirmation.
  • Legitimate interests — responding to enquiries, preventing fraud, keeping records and improving the service.
  • Legal obligation — keeping accounting and tax records, and responding to lawful requests from regulators.

4. Who we share it with

  • The DVLA, to process your replacement log book.
  • Our payment provider, to take and confirm your payment securely.
  • Our hosting, database and email providers, who process data on our behalf.
  • Professional advisers or authorities, where we are legally required to do so.

We do not sell your personal information or use it for third-party marketing.

5. How long we keep it

We keep application and order records for seven years, to meet accounting requirements and to support you with any follow-up questions. After that, records are securely deleted. Enquiries that do not lead to an order are normally deleted within 24 months.

6. Security

Your data is stored on access-controlled, encrypted infrastructure. Order confirmations are held in private storage and are only accessible to authorised staff and through time-limited secure links.

7. Your rights

Under UK data protection law you have the right to access your data, to have inaccurate data corrected, to request erasure, to restrict or object to processing, and to data portability. To exercise any of these rights, email support@log-books.org.uk. We will respond within one month.

If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.

8. Cookies and advertising measurement

We use cookies needed to keep the site secure, maintain your application session and process your payment. These are always on.

With your permission, we also use Google Ads cookies (Google Ireland Limited) to measure whether our adverts lead to completed applications and to help Google show our ads to people likely to need them. When you complete a payment we send Google your order reference and the amount paid. We do not send your name, email, address or vehicle details. If you are in the UK, EEA or Switzerland, these cookies are only set after you click "Accept" on our cookie banner. We keep a record of your choice, when you made it and the version of the notice you saw.

You can change or withdraw your choice at any time using "Cookie settings" at the bottom of every page. Learn how Google uses data at business.safety.google/privacy.

9. Changes and related policies

We may update this policy from time to time; the date at the top shows the latest version. See also our terms and conditions and refund policy.
